Looking back, I can see there were missing pieces. The biggest one? Clear instructions. Because nobody can read your mind.

The person you've hired can't see what you're imagining.
They can only work from the information you've given them.
That means if you want consistent results, you need documented processes.
Which brings us neatly to everyone's favourite topic...SOPs. (Standard Operating Procedures.)

Most people hear "SOP" and immediately switch off.
It sounds boring. It sounds corporate. It sounds like something for large companies.
But SOPs are one of the most valuable tools a business owner can create.
An SOP is simply a documented process that explains how something gets done.
It can include:
• Screenshots
• Step-by-step instructions
• Video walkthroughs
• Checklists
• Templates
• Examples
The goal isn't perfection.
The goal is consistency.
When someone joins your team, they shouldn't need to rely on memory, guesswork or repeated explanations.

Most of us haven't been taught those skills before starting a business.
So it's completely normal to feel uncomfortable.
But leadership is learnable.
The more you practise, the easier it becomes.
The Missing Ingredient Most Business Owners Overlook
Recently I've been researching a concept called self-efficacy.
Put simply, self-efficacy is your belief that you can handle what comes next.
Not that everything will go perfectly.
But that you'll be able to deal with whatever happens.
And I think this plays a huge role in delegation.
Because often what we're actually afraid of isn't delegation itself.
We're afraid of:
• Someone making mistakes
• Something going wrong
• Having difficult conversations
• Losing money
• Managing people
• Making the wrong decision
When your self-efficacy improves, delegation becomes easier.
Because you trust yourself to handle challenges if they arise.
Learn Your Systems Before You Outsource Them
This is one area where I have a strong opinion.
Learn your systems before you hand them over.
That doesn't mean becoming an expert.
It means understanding how they work.
Too many business owners outsource websites, CRMs, email systems and marketing platforms without understanding the basics.
Then later they discover:
• They don't have access
• They don't own key assets
• They can't make changes
• They don't know how things connect
That creates risk.
Your systems are business assets.
You should always have ownership and access.
When you understand the fundamentals, you're able to make better decisions, protect your business and delegate more effectively.
How to Start Delegating More Successfully

1. Document One Process
Choose a task you repeat regularly.
Record yourself doing it or create a simple checklist.
2. Focus on Outcomes
Explain what success looks like rather than just listing actions.
3. Accept That Nobody Will Do It Exactly Like You
Different doesn't automatically mean wrong.
4. Build Trust Gradually
Start with smaller tasks before moving to larger responsibilities.
5. Remember You're Learning Too
Delegation is a skill.
Nobody gets it perfect immediately.
